Private betaNew: automations

Shared email for teams that answer mail together

DMU Mail brings info@, orders@ and accounts@ into one calm inbox. Assign a conversation, see who is on it, and stop answering the same email twice.

Works with the mailboxes you already have. Hosted in the EU.

The DMU Mail inbox: shared and private mailboxes in the sidebar, Everyone or Mine beside the search, and an open invoice conversation assigned to George Petrou.

Keep your email provider. DMU Mail connects to it.

The basics

One inbox, many hands

Most shared addresses run on one password passed around the office, and hope that nobody replies twice. DMU Mail gives every person their own sign-in and the whole team one clear view.

  • Shared and private, side by side

Everyone sees info@. Only you see yours. Each person keeps their own read state, so one colleague opening an email doesn’t mark it read for everybody.

  • Assign it, then get on with it

Give a conversation to one person or several. Everyone can see who owns what, and every change is written into the conversation’s history.

  • Answer faster, with a safety net

Saved replies with variables, a signature for every mailbox, send later, and up to thirty seconds to take back any email you send.

  • Talk it over inside the conversation

Every conversation has a team chat beside it. Mention a colleague to bring them in, and the customer never sees a word of it.

  • See who is on it, live

Everyone sees who is reading and who is replying as it happens, and who each conversation belongs to, so nobody writes the same answer twice.

  • Nothing slips through

A reply to a closed conversation opens it again. Snooze what can wait until later, and pin what can’t to your sidebar.

Highlights

More than a shared inbox

Views, contacts, automations, big files and the numbers behind your inbox, built into the same calm app.

Search

A word still matches without its accents, in capitals or with a different ending. English and Greek today, with more languages coming.

  • Accents are optional
  • Works on encrypted mail
  • Suggestions as you type
Search suggestions for “invoices”: Invoice INV-0914 and other invoice conversations, and Kyma Customs under People.

Views

Your inbox, the way you work

Filter and sort any list, combine conditions, and keep what you use as a view in your sidebar. Switch any list to Mine to see only what is assigned to you.

  • Filters you can combine and save
  • Everyone or Mine on every list
  • Pin up to 10 conversations
The Filter menu under Everyone or Mine: Unread and Has attachments ticked, with mailbox, assignee and sort below.

Contacts

Know who you’re writing to

Press i to see the person you are writing with: their contact, your other conversations with them and the files you have exchanged. Shared contacts for the whole organisation, and personal ones of your own.

  • Custom fields that fill in saved replies
  • Import from CSV, vCard, JSON or XML
  • Company logos only on mail that proves where it came from
The details panel beside a conversation: Anna Papadaki’s email, phone, VAT number and custom fields, with Open contact.

Automations

Let the routine run itself

Rules that sort, assign and answer mail as it arrives. Assign in turns, add labels, close, snooze, reply out of hours, or remind the team when a customer has waited too long.

  • Test a rule on recent mail before it runs
  • Opening hours, holidays and time zone
  • Every action written into the conversation’s history
An automation: if the subject has bill, invoice or receipt and the sender is outside the organisation, label it Invoices and assign the Accounts team in turns.

Files

Big files, no problem

A file too big for email, up to 2 GB, goes as a download link that you can turn off at any time. And almost any file opens right inside DMU Mail, even one inside a ZIP or an attached email.

  • Links with an expiry and an optional password
  • Preview photos, PDFs, spreadsheets, video and more
  • Drag files onto a conversation to reply with them

Analytics

See how the team is doing

Overview, Speed, Workload, Mailboxes and People, each opening with one plain sentence about your numbers. Filter by a mailbox or by a person.

  • How fast first replies go out
  • What is waiting, and for how long
  • Members see everyone’s totals, or only their own
Analytics Overview: 1,284 conversations, a typical first reply of 1h 42m, and 78% replied within an hour against a target of 85%.

Assistant

Your own AI, only when you ask

Connect your own account with Anthropic, OpenAI, Google, Mistral or Azure OpenAI. Ask it to tidy your inbox, catch you up after time away, find a conversation or draft a reply. It shows what it would change, then waits for your yes.

  • Off for everyone until an administrator turns it on
  • Your own key, your own provider, your own limits
  • It acts only when you ask, or on a schedule you set
The Assistant beside a conversation: asked to tidy the inbox, it looked through 412 conversations and proposes moving 38 notifications to Trash, waiting for you to apply it.

Security and privacy

Your mail stays yours

Built for companies that answer to their own clients: hosted in the EU, walled off per organisation, and careful with every email it shows you.

  • Hosted in the EU

Our servers run in Nuremberg, Germany, with Hetzner. Attachments are kept in EU object storage.

  • Mail, encrypted

Messages, attachments, drafts and chat are encrypted with AES-256, under keys unique to each mailbox and kept apart from the data. Delete a mailbox and its keys go too.

  • A wall per organisation

The database itself keeps each organisation’s mail apart, and we test that wall before every release.

  • Safe to open

Every email is cleaned on our servers and shown with scripts switched off. Remote images wait until you allow them.

  • Virus protection

Every attachment and upload is checked for viruses on our own servers in the EU, never by an outside service. A harmful file is blocked before anyone can open it.

  • Trackers blocked

Tracking pixels are removed from every message, even when you show images, and a small icon lists what was removed.

  • Two-step verification
  • Passkeys
  • Sign in with Google or Microsoft
  • Export or delete your data any time

Questions, answered

Something else? Write to support@dmu.email and a person will answer, Monday to Friday.

Do we have to change email provider?
No. DMU Mail connects to the mailboxes you already have over IMAP and SMTP. Your mail stays with your provider; we keep a synced copy so the team can work on it together.
Does it work with Microsoft 365?
Yes. Choose Connect with Microsoft when you add the mailbox and sign in there, with no server settings or password to type. Gmail and Google Workspace connect the same way, with Google.
When can we start?
We’re in private beta and let a few organisations in every week. Join the waitlist and we’ll email you when there’s room.
Where is our data stored?
In the EU. Our servers run in Nuremberg, Germany, and attachments are kept in EU object storage.
Can we leave and take our mail with us?
Yes. Your mail is still with your provider, so nothing is locked in. You can also export your data, or delete your organisation, from Settings.
